DEPARTMENT: CLUB OFFICE

 

THE ROLE

In addition to providing direct support to the Chief Executive the EA is the Head of Department for the Club Office and also provides administrative support to the Chair.

As the EA, you will provide first class support to the Chief Executive of the Club and, as a Head of Department, will manage the Governance Officer and Senior Administrator to ensure the smooth operational running of the Club Office.

As the main point of contact regarding all Club Office matters, you will build professional relationships with key stakeholders and members within the Club. You will have to deal with internal and external correspondence, drafting replies for the Chief Executive or responding on his behalf where appropriate. You will assist in the development, execution and implementation of strategies in line with the Club’s wider objectives and lead specific projects where appropriate.

On a day-to-day basis, you will manage multiple schedules, task lists and calendars, maintain a Club-wide document management system, including a database of policies, arrange key meetings and prepare agendas, reports and minutes and must be comfortable proofreading and drafting a variety of outputs for the Chief Executive.

As the EA, you will provide comprehensive administrative support to the Main Committee and PSC Advisory Group. You will plan, coordinate and prepare agendas, papers, board packs and reports for key meetings ensuring all documentation is accurate, timely and compliant and then attend key meetings (when required) and prepare accurate and concise minutes, ensuring that they are approved and distributed in a timely manner.

Additionally, you will take on the responsibility of organising several notable annual dinners on behalf of committee members and Trustees. In collaboration with the Governance Officer, you will also play a key part in upholding the governance structure of the Club ensuring compliance with its rules and regulations.

This is a full-time role (40 hours per week), predominantly Monday to Friday, though occasional evening work will be required for the attendance of monthly committee meetings.


TYPICAL DUTIES WILL INCLUDE

As EA, you will provide support to the highest level. You will have exceptional interpersonal skills, with the ability to deal with a wide variety of people in a calm and diplomatic manner. You will possess good judgment, high emotional intelligence and a solution driven approach to your work. You must be comfortable with change.

The ideal candidate will have strong analytical skills, with the ability to make informed decisions, demonstrating excellent judgement and decision-making abilities. Additionally, you will display the capacity rapidly to grasp new concepts, tools, and processes while exhibiting a proactive and inquisitive approach. You will be fastidiously organised with extensive experience of diary management as well as proven experience in multitasking with accuracy across a number of concurrent duties and projects. You will have excellent communication skills, both written and spoken, and have experience of providing high-level EA support. You will be a highly trusted individual dealing with confidential matters and be able to operate with discretion. You will have experience of, and relish working in, a fast-moving environment and have the ability to pre-empt situations and make decisions. You will have excellent experience of IT packages, including Microsoft Office and Teams, and bespoke systems.

As a Head of Department for the Club office, you will have management experience, and be able to direct and supervise others, ensuring that tasks are prioritised as appropriate. You will also communicate with other senior members of staff across the 30+ departments.

The EA is an indispensable role, a lynchpin, you will take pride in your work, display forensic attention to detail and always deliver to the highest standard.

Experience in a similar organisation will be advantageous.
